This privacy policy (hereinafter the « Policy ») aims to inform users of the website www.coolaris.be (hereinafter the « Website ») about how their personal data is collected and processed by Coolaris.
Coolaris is committed to respecting the privacy of its visitors and clients, in accordance with:

Coolaris only collects the data you voluntarily provide to us via the contact form available on the Website, namely:
- Last name
- First name
- Email address
- Phone number (mobile)
- Content of your request / message
No sensitive data (within the meaning of article 9 of the GDPR) is collected.
4. Purposes of processing
Your personal data is processed for the following purposes:
- respond to your information requests sent via the contact form;
- provide you with a quote or commercial offer adapted to your project;
- ensure the follow-up of the commercial relationship (management of prospects and clients);
- comply with our legal and regulatory obligations.
5. Legal basis for processing
The processing of your data is based on the following legal grounds (article 6 of the GDPR):
- your consent, expressed by voluntarily completing and submitting the contact form;
- the performance of pre-contractual measures taken at your request (for example, the establishment of a quote);
- the legitimate interest of Coolaris in developing its commercial activity and maintaining the relationship with its prospects and clients.
6. Recipients of the data
Your personal data is processed exclusively by Coolaris (Louis Lachapelle) and is never sold, rented or transferred to third parties for commercial purposes.
Your data may however be communicated to:
- technical subcontractors of Coolaris (website host, email provider) acting strictly on Coolaris's instructions and bound by a confidentiality obligation;
- the competent authorities, upon legal request, in the event of a judicial or administrative request.
7. Retention period
Your personal data is retained:
- for prospects (requests without commercial follow-up): for a maximum period of three (3) years from the last contact;
- for clients: for the entire duration of the contractual relationship, then for a period of ten (10) years after the end of the relationship, in accordance with the accounting and tax obligations applicable in Belgium.
Beyond these periods, your data is deleted or anonymized.
8. Your rights
In accordance with the GDPR, you have the following rights regarding your personal data:
- right of access: obtain confirmation that data concerning you is being processed and obtain a copy thereof;
- right to rectification: have inaccurate or incomplete data corrected;
- right to erasure (« right to be forgotten »): request the deletion of your data in the cases provided for by law;
- right to restriction of processing: request that the processing of your data be limited;
- right to object: object, on grounds relating to your particular situation, to the processing of your data;
- right to data portability: receive your data in a structured, commonly used and machine-readable format;
- right to withdraw your consent at any time, without affecting the lawfulness of previous processing.
To exercise these rights, simply send a request to contact@coolaris.be, accompanied by proof of your identity. A response will be provided within a maximum of one (1) month from the receipt of your request.

9. Data security
Coolaris implements appropriate technical and organizational measures to protect your personal data against any loss, unauthorized access, disclosure, alteration or destruction. However, since no data transmission over the Internet can be guaranteed as completely secure, Coolaris cannot guarantee absolute security.

The Website may use cookies strictly necessary for its technical functioning. No audience measurement, targeted advertising or profiling cookies are placed on your terminal without your prior consent.
If non-essential cookies were to be used in the future, a consent banner would be implemented and this Policy would be updated accordingly.
11. Transfer outside the European Union
Your personal data is in principle processed and stored within the European Union. In the event of a transfer to a third country, Coolaris will ensure that this transfer is governed by appropriate safeguards within the meaning of the GDPR (standard contractual clauses, adequacy decision, etc.).

Coolaris reserves the right to modify this Policy at any time, in particular in order to adapt it to legislative, jurisprudential or technical developments. The date of the last update appears at the top of this document. We invite you to consult this Policy regularly.
